Rental Terms

All vehicle rentals with Vanhirehayes are governed by a comprehensive Rental Agreement provided at the time of booking confirmation or vehicle pick-up. This document outlines the specific terms, conditions, insurance coverage, fees, and your responsibilities related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.

Eligibility Criteria

Requirements for Vehicle Rental

  • To rent a vehicle from Vanhirehayes, you must be at least 21 years old, though age restrictions may differ based on the vehicle type, with potential extra charges for drivers under 25. You must possess a valid driving licence suitable for the vehicle category, held for the duration outlined in the Rental Agreement. Additionally, valid identification and proof of your current address are required. Please provide accurate payment information and a security deposit. Any other prerequisites stated in the Rental Agreement must also be met.

Booking and Payment Process

  • Reservations at Vanhirehayes can be completed via our website, by phone, or directly at our Dartford office. A deposit may be required to confirm your booking. Full payment, along with a security deposit, is generally expected at the time of vehicle pickup. All pricing is displayed in British Pounds (£) and includes VAT as applicable. We accept major credit and debit cards, with transactions securely processed through trusted payment providers.

Vehicle Pickup and Drop-off

  • At the time of vehicle collection, it is important to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be created and signed by both parties. The vehicle should be returned in the same condition as it was collected, accounting for normal wear and tear. Any new damage will be evaluated and charged accordingly. Ensure the vehicle is returned with the same fuel level as at collection; refueling charges will apply if it is returned with less fuel. Late returns may result in additional fees, so please notify us promptly if a delay is anticipated. You will be responsible for any parking fines, traffic violations, or related charges incurred during the rental, along with a corresponding administration fee.

5. Coverage and Responsibility

  • All rentals from Vanhirehayes include basic third-party insurance. You can find comprehensive coverage details and excess amounts in your Rental Agreement. Additional insurance options may be offered to help minimize your financial liability. It is advisable to review these options thoroughly. You remain liable for damage or loss up to the insurance excess, unless additional coverage is purchased. Damage resulting from negligence, misuse, or violation of these Terms will be your responsibility, irrespective of any insurance coverage.

Cancellation and Modifications

Cancellation and amendment policies differ based on the type of booking and the notice provided. For precise information, consult your booking confirmation or Rental Agreement. Please be aware that late cancellations or failure to show may incur additional charges.

7. Restricted Activities

Prohibited Vehicle Uses

  • The vehicle must not be used for any unlawful activities. This includes racing, rallying, off-roading, or participation in any dangerous pursuits. Transporting hazardous materials is prohibited. Sub-letting to others or permitting unauthorized drivers is not allowed. Operating the vehicle while impaired by alcohol or drugs is forbidden. The vehicle should only be used for its intended purposes, not exceeding passenger or weight limits, and must remain within the specified geographical boundaries unless authorized.

Breach of these terms may lead to rental termination and extra fees.

8. Liability Restrictions

To the fullest extent allowed by English and Welsh law, Vanhirehayes accepts no responsibility for indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our maximum liability for any claim is limited to the rental amount paid in the previous 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.

9. Applicable Law

These Terms are governed by the laws of England and Wales. Any disputes will fall under the exclusive jurisdiction of the English and Welsh courts.

Updates to Terms

Vanhirehayes reserves the right to update these Terms at any time. Changes take effect immediately upon posting on our website. Continued use of our services indicates acceptance of the revised Terms.
